Science Events – A new web application to help you organise a scientific event

Science Events is a new application developed by Life Science Network gGmbH and Research Elements Association which you can use to organise scientific workshops, conferences and meetings.

Since 2011, our non-profit organisation has been developing web applications that help scientists with networking, communication and recruiting. We are now announcing our sixth project, called Science Events.

Science Events is an application which can help you organise a scientific event. Whenever you are planning to organise an event, there is a number of tasks you need to complete. For example, you need to create a webpage for your event. You need to figure out how to set up the registration and collect registration fees. Usually, a program is needed. Maybe you want to have a poster session and collect abstracts? Or maybe you are organising a workshop with a limited number of participants and wish to select the best candidate from all the applications?

Science Events was developed to help you manage all digital tasks around event organisation. We split the features into three sections:

 

1) Event webpage

You can use the app to create a webpage for your application. The webpage can be created, configured and styled by following very simple instructions.

On the event page, you can add various information about the event, speakers, sponsors, accommodation, venue and so forth. You can also create a program directly online.

The event organisation is collaborative. If your colleagues ask to join as organisers, you can approve them and they can help you with organisation, content editing and administration.

 

2) Event registration

Science Events will allow you to configure the registration. You will be able to define how the registration forms will look like and which information participants should submit. This includes also abstracts and even presentation and poster files.

If you are organising an event with a limited number of participants, Science Events features an integrated application management system. Candidates will be able to apply, but only pay after you've confirmed they are accepted.

Once you configured the registration, you can add different registration options. For each option, you can define the price and specific conditions, including tax. Depending on what you define, participants will be billed correctly, and correct tax indicated on the invoices, which are part of the registration system.

For events which have no paid registration, there will be no payment steps and no invoices will be created.

Finally, you need to choose how you wish to get paid. We offer two main options: payments can go directly to you, or we can process the payments and transfer to you the lump sum once the registration is closed. If you choose payments to go to you directly, you can choose between direct bank transfer and/or PayPal/credit card payment.

 

3) Interaction features

Here is the best part – Science Events is built like a network. When they register, all participants get a profile, where they can add information about their research. You can see people who are attending and can even contact them prior to the event. You also see all abstracts online, all poster files (if you asked participants to submit them) and other information which is usually printed in abstract books. Of course, you can still export the abstracts and print them on paper, but don't have to.

At Science Events you can post announcements, to send all participants important information related to the event.

In addition, participants can "follow" the event to get notified when something important happens. There is a change in the program? No problem, the participants will know it the moment you save the changes. Of course, they can also stop following the event at any time if they feel these notifications are not relevant to them.

 

These are just some of the most important features Science Events currently offers. We will, of course, improve the existing features and add new ones over time.

 

Although Science Events offers both event webpage creation and registration management, you can also use only one of these services. For example, you may have an event webpage already, or you wish to create one yourself – you can still use Science Events registration module without restrictions.

 

How much does it cost?

Science Events can be used FREE of charge if the event you are organising has no registration fees. If you plan to collect registrations, the fee can be as low as 2.9% of the registration fee and goes up depending on whether you choose direct or indirect payment and depending on the payment option.

 

It's nice, but...

Science Events is built to help with the most common event organisation tasks. However, we realize it may not satisfy all the needs every event organiser might have. Especially in the case of organisations which organise a large number of events, there might be features you will miss.
